This Policy is a notice about our handling of personal information. Visiting our website or providing information does not, by itself, constitute consent to optional marketing, non-essential tracking or every use or international transfer of your information.
Our Role and the Role of Aircraft Operators
We arrange aviation and related services as the Client’s charter agent. For personal information whose purposes and means of processing we determine, we act as the responsible organisation or controller, as applicable.
The aircraft operator performing a flight may independently process information for carriage, safety, security, immigration and other regulatory purposes. Its handling of information is subject to its own privacy notice. An operator is not automatically our processor merely because we arrange a booking with it.
Other travel and service providers may also act independently for their own services. We can help identify the provider relevant to your booking and direct you to its privacy information.
Information We Handle
The information required depends on the enquiry or service. Relevant categories may include:
- Contact and identity information: name, email address, telephone number, address, company and role.
- Enquiry and correspondence information: requests, messages, preferences and records of communications with us.
- Booking and travel information: itinerary, flight dates, Passenger lists, baggage details and requested ground handling, accommodation, transfers or other services.
- Travel documents: nationality, date of birth, passport or other identification details, and visa information where necessary for a particular booking or regulatory requirement.
- Billing and transaction information: billing details, invoices, bank transfer references, payment status and related accounting records.
- Assistance information: accessibility needs, medical assistance requests or dietary information you choose to provide where relevant to a service. Some of this information may reveal sensitive personal information.
- Technical information: IP address, browser and device details, requested pages, timestamps and error or security logs, to the extent generated through your access to our website.
Please provide only information relevant to your request. Do not send full payment-card details, passport copies or medical records by ordinary email unless we have specifically requested the information and confirmed an appropriate transmission method.
If information is necessary to arrange a service or satisfy a legal requirement and is not supplied, we may be unable to complete the booking or provide the requested service.
How We Obtain Information
We may receive information directly from you, from the Client or an authorised representative arranging travel on your behalf, and from operators or service providers involved in your booking. Website infrastructure may also generate technical information when the website is accessed.
If you provide information about another person, you should be authorised to do so, share this Policy with them and provide accurate information. A booking by one person is not blanket consent to all processing of every Passenger’s information.
Where information is obtained indirectly, we will provide any additional notice required by applicable law.
Purposes and Grounds for Processing
We handle relevant information for the following purposes:
- Enquiries and bookings: responding to requests, preparing quotations, arranging confirmed services and administering our relationship with the Client.
- Service coordination: sharing necessary Passenger and itinerary information with the identified operator and relevant suppliers.
- Payments and records: issuing invoices, reconciling payments and maintaining required business and accounting records.
- Safety and compliance: supporting applicable travel, identity, security and legal requirements.
- Security and claims: protecting communications and systems, preventing fraud, resolving complaints and establishing or defending legal claims.
- Optional communications: sending marketing communications only where permitted and subject to any required consent and choice.
Where a law requires a specific lawful basis, we rely on the basis appropriate to the activity: steps requested before entering a contract or performance of a contract with the individual concerned; compliance with a legal obligation applicable to us; legitimate interests in arranging requested services, managing business communications and protecting our operations, balanced against individual rights; or consent where required.
If you are a Passenger but not our contracting Client, we do not assume that the Client’s contract alone provides a contractual basis for processing your information. We assess the appropriate basis for the relevant purpose.
Sensitive information is handled only when necessary for the requested purpose and where the applicable conditions for such processing are met, including explicit consent where required. Withdrawal of consent does not affect the lawfulness of prior processing, but may affect our ability to fulfil a particular optional request.

We may use technologies necessary to support requested website functions and security. - Parties to a business transaction: where information is relevant to a proposed or completed restructuring, merger or transfer of business, subject to appropriate safeguards and any required notice.
Providers acting on our instructions must be subject to appropriate confidentiality, security and processing requirements. Independently responsible operators and other organisations handle information under their own obligations and privacy notices.
We limit sharing to information relevant to the purpose. A general reference to service providers does not authorise unrelated marketing use.
International Processing
We are based in the United States. Depending on the itinerary and providers involved, personal information may be processed in the United States and other countries where operators or relevant suppliers operate.
Data protection rules may differ between countries. Where applicable law restricts a transfer, we will use the required transfer mechanism and safeguards, which may include an applicable adequacy arrangement, approved contractual safeguards or another lawful mechanism appropriate to the circumstances.
We do not treat acceptance of this Policy as blanket consent to international transfers. You may contact us for information about the destinations and safeguards relevant to your information and, where available, a copy of the applicable safeguards with necessary confidential information removed.
Retention and Security
We retain personal information only for as long as reasonably necessary for its purpose and applicable obligations. Relevant factors include whether an enquiry remains active, completion of the booking, accounting and regulatory record requirements, limitation periods, complaints and legal claims.
Enquiry records are reviewed when the enquiry is no longer active. Booking and financial records may need to be retained after travel for accounting, regulatory or claims purposes. Identification copies and sensitive assistance information should not be retained merely because other booking records remain necessary. Information subject to a lawful preservation requirement may be retained until that requirement ends.
When information is no longer needed, we will delete it, securely dispose of it or anonymise it, as appropriate. Contact us for the retention period or criteria applicable to a particular category of your information.
We use appropriate organisational and technical measures proportionate to the information and risks. No online transmission or storage method is completely secure; this does not reduce our obligation to implement appropriate safeguards or provide notifications required by applicable law.

Children and Young Passengers
Our website and enquiry process are intended for adults arranging services, not for children to make bookings independently.
We may nevertheless need information about children travelling as Passengers, provided by a parent, guardian or another appropriately authorised person, to arrange their travel and assistance. Such information is limited to the relevant purpose and handled subject to applicable protections.
If you believe a child has independently supplied information without appropriate authority, contact us so that we can assess the situation and take suitable action.
External Websites and Policy Changes
Our website or communications may link to third-party websites. Their privacy practices are governed by their own notices; this Policy does not describe or control their independent activities.
We may update this Policy to reflect changes in services, processing or legal requirements. We will publish the revised version with its effective date and provide additional notice or obtain consent where required.
